Workflow, Task list, Assignments

You are now able to work through a task list and meet deadlines in a timely manner. You can assign tasks to certain team members and set due dates. This feature can also be used with your suppliers to keep track of outstanding items.


Let's start by heading to Workflow, which is listed under your Product Lifecyle Management section.

Select the 3-lined menu icon in the top left-hand side > Select Product Lifecyle Management > Select Category > Click the Workflow Tab 

Create a workflow

  • On the page, you will see a button to "Create" a new Workflow Assignment. Press the button to get started.

  • A pop-up will appear, you will need to fill out the values that contain an asterisk next to it.

    • Workflow Title

    • At least 1 Task Title

  • You can add as many tasks to your workflow assignments as needed. 

  • Optional (Please note these fields are for reference only and does not stop or alert users):

    • Add an assignee to a task

    • Add the number of days in between each task

Assign a workflow

  • Once the assignment has been done you can proceed to go into the specified area to assign the workflow. (Ex: Project, Quote, Orders)

  • For example: If you want to assign your Project to a Workflow, you will head over to the Project section and click in the Project you would like to have assigned.

  • Once in the Project, select all the items and click the "Assign Workflow" button.

  • Select the workflow name from the dropdown menu

  • Optional - If the number of days between tasks have been added to the master workflow template, you can auto-populate task due dates when assigning the workflow:

    • Click auto-populate

    • Enter a task start date

    • The due dates will automatically populate but can be overridden

  • Click save when finished

View a workflow

  • The workflow will appear in the lower right-hand corner of the product details page.

  • You can view all items linked to a workflow in the Workflow tab located at the top of the page.

  • You can also see the items added to a workflow in the summary view of each project, quote or order, click the (✓) check mark to change the view.

Maintain a workflow

  • You can have more than one assignee to each task. They are listed in the header.

  • Click the circle under the task, a pop up will appear

    • Select a status: Completed (Green), Issue (Yellow) or Rejected (Red).

    • You have the option to add a task note or task due date

      • Click the pencil

      • Type the note and/or enter a date

      • Click Save when finished

        • A note indicator will populate in the task area

    • You also have the option to add a Product Note.

      • Click the 3 dots

      • Click Add Product Note

      • Type your note

      • Click Save

  • You can edit all task due dates for an item at once.

    • Click the 3 dots under product note

    • Click Edit Due Date

    • You have the choice to auto-populate (see above section assign a workflow) or manually add due dates

    • Click Save when finished
