The Knowledge Base holds reference material your organization wants Sura to use, such as process documents and websites. A source must finish processing before it may be available to Sura. Check its status and confirm relevant source use in the answer; a Ready status alone does not show what a particular response used.
Check your access
Open Sura in a normal desktop browser and look for Knowledge Base. Knowledge Base management has its own permissions. Being a company administrator does not always mean you have ongoing Knowledge Base administration access. Ask your company's Knowledge Base administrator or Surefront Support if the option is missing.
Reading a shared source and managing sources are different permissions. Check the intended company and audience before adding or sharing material.
Add a source
- Open Knowledge Base.
- Upload a PDF, DOC, DOCX, PPTX, XLSX, TXT, MD, or CSV file, add a website URL, or use a cloud-drive option if it is set up for your account. Cloud-drive providers depend on which connections are set up for your account; unavailable providers may be disabled or marked “Not set up yet.”
- Wait for processing to reach Ready. If processing fails, open the source details and address the reported error.
- Review who can use the source. Share it only with the people or companies intended to receive that material.
- Ask Sura a question the source should answer and inspect the sources used in the response.
For a folder import, review the selected folder scope and the resulting source entries. A folder link alone does not confirm which files became available to Sura; check the resulting sources and their status.
Keep answers current
Assign an owner to each source. When the original material changes, use the source's available refresh or reprocess action and confirm it returns to Ready. Publishing a changed web page does not by itself confirm that Sura has processed the new version.
If an answer uses an older instruction, check the source's processing information, audience, and the original document. Ask Sura to identify its source so you can distinguish an outdated source from an incomplete answer.
Protect company information
Use material your company permits for the intended audience. Keep passwords, access tokens, and secrets out of sources. A source's public availability and the permissions of a website chat deployment are separate controls.
